Task Templates

This guide outlines the process of selecting, reviewing, and applying pre-built task templates within the workflow management system.

Accessing the Template Library

1. Locate the New Request Action

Navigate to the top-left corner of the interface and select the plus sign (+) located next to the firm logo.

Searching and Filtering Templates

1. Use Keywords to Find Templates

Enter keywords in the Search template titles, tags, descriptions... field to find specific task types.

2. Filter by Organizational Tags

Refine your search by selecting relevant tags from the Tags menu on the left sidebar. This helps identify templates categorized under specific industry standards or internal classifications.

Reviewing Template Details

1. View the Workflow Overview

Select a template to open its detailed view. Review the Workflow diagram on the left to understand the sequence of document groups, such as Invoices, Payment Batch Summary, and Bank Statement.

2. Inspect Data Source Requirements

Check the Data Sources section to identify necessary inputs.

[!TIP] Ensure any tables you intend to use with the template include columns that match the required headers, such as Vendor, Invoice Number, and JE Date.

3. Analyze Retrieval Prompts

Review the specific prompts associated with each document group to confirm the template will capture the required information.

Applying and Customizing a Template

1. Initialize the Task

Select the Use this template button in the bottom-right corner. The system will create a new task based on the template structure.

2. Modify Task Components

Access individual document groups or steps within the new task to make adjustments.

[!TIP] Templates can be modified for individual clients without affecting the original master template in the system library.

Saving Custom Templates

1. Preserve Modifications

If a modified task structure is valuable for future use, select the option to Save as a template.

[!CAUTION] Saving a firm template with an identical name to an existing one will overwrite the original template.
