Request Validation

Automate the review of client-uploaded documentation within Agentive to ensure all audit evidence meets specific requirements at the moment of upload.

Introduction to Client Validation

Define Validation Goals

Use the Client Validation feature to provide immediate feedback to clients during the upload process. This prevents delays caused by insufficient evidence, such as receiving a single monthly statement when an annual report was requested.

[!TIP] Validating evidence at the time of upload eliminates the need for auditors to manually verify every document weeks after submission.

Establishing Document Match Criteria

Select the Document Group

Navigate to the relevant Document Group (e.g., Investment Statements) within your workflow.

Create a Unique Identifier

Define a Match Criteria to link documents across the system.

  1. Open the Workpaper view.
  2. Under Matched Columns, select or create a unique identifier such as Envelope ID.

Configuring AI Validation Prompts

Set Up AI Extraction

Scroll to the Custom Columns section to define the data points the AI should extract from uploaded files.

  1. Click Add AI Prompt.
  2. Input the specific question for the AI (e.g., What are the total contributions for the year?).

Setting Client Validation Rules

Define Validation Logic

Locate the Client Validation section beneath the Deep Analysis settings.

Configure Match-Based Validation

Choose the Match Criteria (e.g., Envelope ID) to ensure all statements uploaded by the client contain an identifier that matches your sample.

Input Free-Form Criteria

Add specific instructions in the Validation Criteria text box to guide the AI's assessment.

  1. Specify the required document type (e.g., The evidence provided must be the annual account statement).
  2. Define the required date range (e.g., The statement should include the entire time period from January 1, 2024 through December 31, 2024).

Managing Validation Feedback

Monitor the Automated Review

Once a client uploads a document, Agentive performs text recognition and runs the defined AI Prompt against the file contents.

Review Visual Indicators

Identify failed validations by looking for the Orange triangle icon next to the uploaded document in the list.

Access Issue Summaries

Instruct clients to click the Orange triangle or the associated Icon to view a detailed summary of why the document failed the criteria (e.g., identifying that a September monthly statement was uploaded instead of an annual statement).

[!CAUTION] If a document fails validation, the system will also notify the client via their daily email summary until the issue is resolved.

Resolve Validation Conflicts

Allow clients to use the Activity or Comments section to clarify why a specific document was uploaded or to confirm they will provide the correct replacement.
