Learn how to use Agentive's Deep Analysis functionality to perform AI-driven reviews of audit documents.
Introduction to Deep Analysis
Deep Analysis allows auditors to chat with uploaded documents in an essay-style format, similar to ChatGPT, but with a specialized focus on audit standards and side-by-side document review.
Creating a New Request and Document Group
Step 1: Initialize a Task
- Navigate to the New Request tab.
- Enter a Title for the task (e.g.,
Deep Analysis - BOD Minutes). - Click Create.
Step 2: Set Up the Document Group
- In the Getting Started section, click Add Table or select No Table if a structured sample is not required.
- Under Document Group, enter a descriptive name (e.g.,
Board Minutes). - Click Create.
Generating Audit-Focused Prompts with Ask AI
Step 1: Access the Chatbot
- Locate the Ask AI button at the top-middle of the screen.
- Click Ask AI to open the chatbot interface.
Step 2: Refine the Audit Prompt
- Input your role and the objective in the chat (e.g.,
I am an auditor reviewing board minutes in accordance with AICPA audit standards. Can you write a prompt that helps me extract that information?). - Review the AI-generated prompt.
- Provide feedback to the AI to include specific flags, such as "unusual or fraudulent transactions."
- Highlight the finalized prompt text and use
Ctrl+Cto copy it to your clipboard.
[!TIP] Use the chatbot to "wordsmith" complex prompt architectures to ensure the AI hits all key points required for audit compliance.
Executing Deep Analysis Across Documents
Step 1: Upload Source Files
- Go back to the Request view.
- Drag and drop the relevant PDF files (e.g., quarterly board minutes) into the Requested Files section.
- Wait for the OCR (Optical Character Recognition) to complete processing.
Step 2: Configure the Analysis Scope
- Click the Add Deep Analysis button in the Deep Analysis section of the sidebar.
- Choose a scope:
- Select All documents together to generate a single summary across all files.
- Select Each document individually for transaction-level analysis.
- Paste your copied prompt into the Deep Analysis Question text box.
- Click Add Deep Analysis.
Step 3: Run the Analysis
- Click the Play button on the Deep Analysis entry or click Run from the workflow view.
- Wait approximately 60 seconds for the AI to process the request.
Reviewing Results and Citations
Step 1: Analyze Side-by-Side
- Review the generated summary in the chat window.
- Click on the numerical Citations within the text to automatically open the source document to the exact page and section referenced.
Step 2: Refine the Output
- If the output is too lengthy, use the Ask anything... box to provide coaching (e.g.,
Can you please make more concise and summarize the findings in 4 paragraphs?). - Once satisfied, hover over the Copy button to copy the text for use in external reports or Word documents.
Analyzing Documents Individually
Step 1: Transactional Deep Analysis
- When reviewing distinct transactions (e.g., vendor invoices), select Each document individually during the configuration step.
- Input a transaction-specific prompt (e.g.,
What is the nature of these transactions? Does it appear to be any kind of prepayment?).
Step 2: Review Individual Chat Logs
- After running the analysis, the system creates a separate chat summary for every document in the group.
- Review the individual logs to understand specific details like service dates or expense categories.
[!CAUTION] Deep Analysis information does not automatically populate the standard Workpaper table. Use it as a supplemental layer of assurance to enrich your understanding of the audit area.
