Document matching in workpapers
[!NOTE] Document matching becomes available once your workpaper includes at least one sample table and a document group.
Overview
Document matching pairs each sample row with the most relevant supporting file inside a document group. Once matching is on, Agentive copies key columns from your sample, scores every file against those columns, and shows the results directly in the workpaper grid. You can accept the suggested match, make adjustments, or swap in a different file at any time.
Before you start
- Import or paste a sample table that lists the items you are testing.
- Create at least one document group and add the evidence you expect to match.
- Check that uploaded files are supported formats (PDF, images, Excel, or Word).
Create document groups
- Open your workpaper and choose Add document group from the canvas or sidebar.
- Give the group a descriptive name (for example, “Invoice support”).
- Decide whether clients can upload to the group or if it should stay internal.
- Choose whether matching should review each file as a whole or look at individual pages.
- Upload starter files or invite clients once the group is ready.
Turn on document matching
- Select the document group and open Match settings.
- Choose the sample (or other parent table) you want to match against.
- Review the copied columns—these set the rules the system uses when scoring files.
- Keep or remove columns depending on what matters for your review.
Fine-tune column rules
Each column has simple controls:
- On/Off – Skip a column without deleting it.
- Required – Only accept matches that include that column.
- Tolerance – Allow a small difference for numbers or dates when exact matches aren’t expected.
- Instructions – Add short hints so the AI knows what to look for.
Changes save automatically so your next run uses the latest settings.
Run document matching
- Click Run matching from the document group sidebar or the workflow toolbar.
- Agentive processes any new files, compares them to your sample, and refreshes the grid once results are ready.
- Repeat the run whenever new documents arrive or you adjust the rules.
Review matches
- Matched values appear in the grid with a highlight and a link to the source.
- Open a cell to preview the document snippet, zoom in on the citation, and approve or clear the result.
- Use bulk actions when you want to accept or clear several matches at once.
Approving a match “locks” it so the same evidence stays attached even after future runs. Clearing a match returns the row to the pool for the next run.
Manage files from the sidebar
The Files sidebar lets you:
- Mark a file as eligible or ineligible for additional matches.
- Allow or stop additional matches if a document should only support one row.
- Clear all matches for a file before running the automation again.
- Open comments to track review notes alongside the document.
Workflows with multiple document groups
Workpapers display every data source on a simple canvas. Use the plus button on any node to add another document group, connect it to a different sample, or schedule another automation. Hover a node to see which parent table it relies on.
Tips and FAQs
- Why did nothing happen? Matching only runs when the group has new files or rule changes. Upload a document or tweak a column and run it again.
- Can I match manually? Yes—drag files from the sidebar onto a row to create or replace a match.
- Do clients see matches? Clients only see results in sections you publish to them.
